Office Assistant

Overview
We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This role is vital in supporting daily administrative functions, managing front desk responsibilities, and providing exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess strong organizational skills to handle a variety of clerical tasks efficiently.

Duties

  • Greet visitors and clients warmly, directing them appropriately and maintaining a professional front desk presence
  • Perform data entry tasks with high accuracy using computer literacy skills, including Microsoft Office with an emphasis on Excel Worksheets
  • Organize and maintain filing systems, both electronic and physical, ensuring easy retrieval of documents
  • Assist with calendar management and scheduling appointments for staff or executives
  • QuickBooks experience a plus

Skills

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer skills with proficiency in Microsoft Office suite (Word, Excel, Outlook)
  • Familiarity with QuickBooks or bookkeeping software is a plus
  • Bilingual abilities are highly desirable to serve diverse client needs effectively but not a requirement
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Exceptional customer service skills with professional phone etiquette and support capabilities
  • Ability to perform data entry accurately while maintaining attention to detail and proofreading documents for errors
