Office Assistant

Duties

  • Greet visitors and manage front desk responsibilities with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
  • Perform data entry, maintain accurate filing systems, and handle document proofreading to ensure clarity and correctness
  • Manage calendar scheduling, appointment setting, and coordinate meetings for staff members
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks Online, and Google Workspace to prepare reports and correspondence
  • Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries promptly and professionally, ensuring a positive experience for clients and visitors

Qualifications

  • Proven office experience with strong clerical skills and familiarity with administrative procedures
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Proficiency in computer literacy including Microsoft Office, Google Workspace, QuickBooks Online, data entry, and document proofreading
  • Experience with multi-line phone systems, phone etiquette, and customer service best practices
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Strong time management skills with the ability to handle multiple responsibilities simultaneously
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Knowledge of office management software such as QuickBooks or bookkeeping tools is advantageous
