Duties

  • Greet visitors and clients warmly at the front desk, providing excellent customer service and maintaining a professional demeanor.
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries appropriately.
  • Perform data entry tasks using Microsoft Office and Google Workspace tools with accuracy and efficiency.
  • Maintain organized filing systems, handle document proofreading, and ensure all records are up-to-date.
  • Assist with calendar management, scheduling appointments, and coordinating meetings for staff members.
  • Support bookkeeping activities including invoice processing and basic financial record keeping using QuickBooks.
  • Provide administrative support such as photocopying, faxing, mailing, and managing office supplies inventory.
  • Handle clerical tasks with precision while demonstrating excellent phone etiquette and organizational skills.

Experience

  • Prior office experience or administrative support roles demonstrating familiarity with office procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with multi-line phone systems, data entry, filing, and general clerical duties.
  • Bilingual abilities are highly valued to assist diverse client needs effectively.
  • Knowledge of QuickBooks or bookkeeping experience is a plus for supporting financial tasks.
  • Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment.
  • Excellent communication skills with a professional phone etiquette; customer service experience is essential.
  • Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized workflows.
