Office Assistant

Job Summary
We are seeking a detail-oriented and proactive Office Assistant to support our team in daily administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a customer-focused mindset. This role is essential in ensuring smooth office operations and providing exceptional service to both internal and external stakeholders.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries.
  • Operate multi-line phone systems, ensuring effective communication with clients and staff.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Assist with filing, organizing documents, and maintaining office supplies.
  • Provide customer support by addressing questions and resolving issues promptly.
  • Utilize QuickBooks for basic bookkeeping tasks as needed.
  • Support calendar management for scheduling appointments and meetings.
  • Conduct proofreading of documents to ensure accuracy and professionalism.
  • Collaborate with team members to enhance office management processes.
  • Maintain computer literacy by utilizing Microsoft Office Suite and Google Workspace for various tasks.

Experience

  • Previous office experience or clerical experience is preferred.
  • Familiarity with administrative duties such as calendar management and customer service is essential.
  • Bilingual candidates are encouraged to apply, enhancing communication with diverse clients.
  • Strong typing skills along with time management abilities are necessary for success in this role.
