Office Assistant

Overview
We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This role is vital in providing exceptional administrative support, managing front desk responsibilities, and maintaining efficient office workflows helping the production area flowing. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to support our team and enhance overall office productivity. Responsibilities

  • Greet visitors and clients with professionalism and courtesy at the front desk, ensuring a positive first impression.
  • Manage multi-line phone systems, directing calls accurately and providing excellent customer service.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure document integrity.
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and report preparation.
  • Assist with calendar management and appointment scheduling for staff members or departments.
  • Support office management tasks such as supply inventory, organization of files, and general clerical duties.
  • Handle customer support inquiries with professionalism, demonstrating strong phone etiquette and problem-solving skills.
  • Helping assist the doctor, dental assistants and hygienist helping their work flow be efficient.

Qualifications

  • Proven office experience or clerical experience demonstrating familiarity with administrative tasks.
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping skills such as QuickBooks are highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Strong communication skills in English; bilingual abilities are a plus for serving diverse clients and team members.
  • Experience with front desk operations, multi-line phone systems, filing systems, proofreading, and customer service is preferred.
  • Knowledge of office management procedures including calendar management, phone etiquette, and office supply coordination.
  • Personal assistant or medical/dental receptionist experience is advantageous but not required; training will be provided for specific roles. Pay: $16.00 - $20.00 per hour
