Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls with courtesy, and relay messages accurately
  • Perform data entry and maintain organized filing systems both digitally and physically
  • Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and collaboration
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
  • Support calendar management and scheduling for team members or executives, ensuring appointments are well-organized
  • Provide excellent customer service by responding promptly to inquiries via phone or email and supporting client needs
  • Conduct proofreading of documents to ensure accuracy and professionalism in all communications
  • Perform clerical duties such as photocopying, scanning, mailing, and maintaining office supplies inventory
  • Support office management tasks including organizing meetings, managing office equipment, and ensuring a tidy workspace

Qualifications

  • Proven experience in an office environment with strong clerical or administrative skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Calendar), and basic computer literacy
  • Experience with QuickBooks or bookkeeping is preferred but not required
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Previous experience as a dental or medical receptionist or personal assistant is a plus
  • Demonstrated customer service skills with a friendly and professional demeanor
  • Ability to perform data entry accurately with good typing speed and attention to detail
  • Knowledge of office management procedures including filing systems, proofing documents, and calendar management
  • Strong time management skills to handle multiple responsibilities efficiently
