Office Assistant

Job Summary

Responsibilities

  • Handle multi-line phone systems, directing calls efficiently and courteously
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain office supplies inventory and place orders as needed to keep the workspace fully stocked
  • Assist with bookkeeping tasks using Sage50 or similar accounting software
  • Provide customer support by addressing inquiries promptly via phone or email
  • Coordinate with team members to streamline office management processes
  • Utilize Microsoft Office Suite and Google Workspace tools for various administrative tasks
  • Manage accounts payable and accounts receivable processes
  • Provide general administrative support as needed

Skills

  • Proven experience in office management or administrative roles with strong clerical skills
  • Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
  • Familiarity with bookkeeping software is preferred
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette and customer service abilities, including experience with multi-line phone systems
  • Attention to detail in proofreading, data entry, and document management
  • Ability to prioritize tasks efficiently using time management techniques
