Office Assistant

Duties

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Manage calendar scheduling, appointments, and meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and maintain organized records to ensure easy retrieval of information
  • Assist with bookkeeping tasks using QuickBooks and handle basic office management responsibilities
  • Provide exceptional customer service by supporting clients, vendors, and internal teams
  • Proofread documents for accuracy and clarity before distribution or submission
  • Support administrative tasks such as copying, scanning, and preparing correspondence or reports
  • Maintain office supplies inventory and coordinate procurement as needed

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills coupled with attention to detail for proofreading and data entry tasks
  • Bilingual abilities are a plus to assist diverse client needs
  • Knowledge of multi-line phone systems, phone etiquette, and customer support best practices
  • Previous experience as a receptionist or personal assistant is advantageous
  • Ability to handle confidential information discreetly while demonstrating professionalism at all times
