Responsibilities
- Greet visitors, clients, and vendors with professionalism and warmth at the front desk, managing multi-line phone systems with courteous phone etiquette.
- Handle incoming calls, direct inquiries appropriately, and provide excellent customer service support.
- Manage calendar appointments, schedule meetings, and coordinate office events using Microsoft Office and Google Workspace tools.
- Perform data entry, maintain filing systems, and ensure accurate record keeping for various administrative tasks.
- Assist with bookkeeping duties using QuickBooks or similar accounting software to support office management activities.
- Support clerical functions such as proofreading documents, organizing files, and managing office supplies inventory.
- Provide general administrative assistance including typing correspondence, managing email communications, and supporting team members with personal assistant tasks as needed.
Experience
- Previous office experience or administrative support role is preferred; experience in medical or dental reception is a plus.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Demonstrated organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent communication skills in both English and bilingual capabilities are highly desirable.
- Familiarity with office management procedures such as filing systems, data entry, and calendar management.
- Experience with clerical tasks including proofreading, typing accuracy, and document formatting.
- Knowledge of customer service principles within an Assited Living or Medical Field and phone etiquette to ensure positive interactions with clients and visitors.
