Responsibilities

  • Greet visitors and clients warmly at the front desk, providing exceptional customer service and assistance.
  • Manage multi-line phone systems with professionalism, ensuring all calls are directed accurately and promptly.
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with precision.
  • Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy.
  • Schedule appointments, calendar management, and coordinate meetings using Google Workspace and Microsoft Office tools.
  • Perform clerical duties such as photocopying, scanning, filing, and updating records efficiently.
  • Support office management tasks including inventory tracking, basic bookkeeping with QuickBooks, and general administrative support.

Skills

  • Proven experience with office management, clerical tasks, or administrative roles in a professional setting.
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Bilingual abilities are highly valued to assist diverse client needs.
  • Familiarity with multi-line phone systems, phone etiquette, and customer support best practices.
  • Experience with data entry, proofreading documents, filing systems, and record keeping.
  • Knowledge of office equipment such as printers, scanners, and fax machines; experience with bookkeeping or QuickBooks is a plus.
