Overview

We are seeking a detail-oriented and organized Office Assistant to join our dynamic team. The ideal candidate will provide essential administrative support, ensuring the smooth operation of our office environment. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus, as well as experience with various office software and customer service. Some warehouse experience is a plus.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to maintain accurate records
  • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication
  • Assist with calendar management and scheduling appointments for staff and clients
  • Provide customer support via phone, email, and in person, ensuring excellent phone etiquette and customer service standards
  • Handle billing, bookkeeping, and basic office management tasks using QuickBooks or similar software
  • Support administrative functions such as organizing files, managing office supplies, and maintaining organizational systems
  • Coordinate with other departments to streamline office operations and improve workflow efficiency

Qualifications

  • Proven experience in an office environment or administrative role; clerical or receptionist experience preferred
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Familiarity with QuickBooks or similar bookkeeping software is desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and attention to detail for proofreading documents
  • Exceptional customer service skills with professional phone etiquette
  • Bilingual abilities are a plus to assist diverse clientele
  • Ability to manage multiple responsibilities efficiently in a fast-paced setting
  • Previous experience as a dental receptionist, medical receptionist, or personal assistant is advantageous but not required
