Job Summary
We are seeking a motivated and detail-oriented Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing communications, and assisting with various clerical tasks. This position requires strong organizational skills, excellent customer service abilities, and proficiency in handling phone systems and data entry.

Duties

  • Answer and direct phone calls with professionalism and courtesy, demonstrating excellent phone etiquette.
  • Manage filing systems, ensuring that documents are organized and easily accessible.
  • Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
  • Provide clerical support including typing, copying, and scanning documents as needed.
  • Assist customers by addressing inquiries and providing information regarding services offered.
  • Support the team with personal assistant duties as required, including scheduling appointments and managing calendars.
  • Collaborate with other staff members to ensure effective communication and workflow within the office.
  • Maintain a clean and organized office environment to promote productivity.

Requirements

  • Proven experience in an office setting or as an administrative assistant is preferred.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Excellent customer service skills with a friendly demeanor when interacting with clients and colleagues.
  • Proficiency in using phone systems and handling communications professionally.
  • Experience with data entry and maintaining accurate records is essential.
  • Familiarity with clerical duties such as filing, typing, and document management is highly desirable.
  • Previous experience as a medical receptionist or in a similar role is a plus but not required.
  • Ability to work independently as well as part of a team in a fast-paced environment.
