Job Summary
We are seeking a dynamic and detail-oriented Office Assistant to join our team! Responsibilities

  • Greet visitors and clients warmly at the front desk, providing excellent customer service and maintaining professional phone etiquette.
  • Manage multi-line phone systems, directing calls accurately and efficiently to appropriate departments or personnel.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records.
  • Handle scheduling tasks such as calendar management, appointment setting, and coordinating meetings using tools like Google Workspace or Microsoft Office.
  • Assist with basic bookkeeping duties using QuickBooks or similar accounting software, including invoicing and expense tracking.
  • Support office management activities by maintaining supplies inventory, organizing files, and overseeing general clerical duties.
  • Provide administrative support to staff members, including personal assistant tasks, document preparation, and time management assistance.

Qualifications

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
  • Strong communication skills with a focus on professionalism in person and over the phone; bilingual abilities are a plus.
  • Experience with multi-line phone systems, customer support, proofreading, filing, and calendar management is preferred.
  • Knowledge of QuickBooks or bookkeeping experience is advantageous but not mandatory.
  • Prior experience as a receptionist, medical or dental receptionist, or personal assistant will be considered beneficial.
