Office Assistant

Responsibilities

  • Cold calling potential partners
  • Greet visitors warmly, directing them appropriately and ensuring a positive first impression
  • Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls accurately
  • Handle data entry tasks using Microsoft Office, Google Workspace for accurate record keeping
  • Maintain organized filing systems, both physical and digital, to facilitate easy retrieval of documents
  • Support calendar management by scheduling appointments, meetings, and reminders efficiently
  • Assist with clerical duties such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail
  • Provide excellent customer service by addressing inquiries via phone or email with patience and clarity
  • Perform general management duties including supply inventory checks, faxing, copying, and maintaining cleanliness of common areas

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Strong computer literacy with experience in data entry and filing systems
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Exceptional phone etiquette and experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to assist diverse clientele and team members
  • Previous office or clerical experience is preferred; familiarity with medical or dental receptionist roles is a plus
  • Strong typing skills with attention to accuracy; proofreading skills for professional correspondence
  • Knowledge of office management best practices including calendar management and time management techniques
  • Customer service orientation with a friendly demeanor and problem-solving mindset
