Office Assistant

Job Title: Office Assistant / Bookkeeping Assistant

Pay: $19 to $21 per hour, depending on experience,

Schedule: Part-time to start, with opportunity to grow into full-timeLocation: [Niles, IL]

We are a growing truck repair and fleet service business looking for a reliable, organized, and trustworthy Office Assistant to help with daily office operations, bookkeeping, payroll, and administrative tasks.

This position is important because the person will help keep the business organized, keep records accurate, and support management with office work, employee records, customer paperwork, and fleet-related documentation.

Responsibilities

  • Enter receipts, bills, and expenses into QuickBooks
  • Help with payroll records, employee hours, and payroll preparation
  • Organize receipts, invoices, bills, and payment records
  • Assist with bill paying and keeping track of due dates
  • Create and organize estimates, invoices, and customer records
  • Track parts, repairs, truck numbers, VINs, and job information
  • Help monitor dash cam videos and driver safety events
  • Keep files and documents organized digitally and physically
  • Follow up with customers, vendors, and employees when needed
  • Answer calls, send texts/emails, and help with scheduling
  • Assist with other office and business tasks as the company grows

Requirements

  • Must be honest, reliable, and highly organized
  • Must be good with numbers and details
  • Experience with QuickBooks is preferred
  • Payroll or bookkeeping experience is preferred
  • Must be comfortable using computers, email, spreadsheets, and phone apps
  • Must be able to keep company, employee, and financial information confidential
  • Must be able to follow instructions and work independently
  • Bilingual English/Spanish is a plus
  • Experience in trucking, auto repair, dispatching, payroll, or accounting is a plus

Important

This position may involve helping with sensitive business information such as payroll, bills, receipts, invoices, and company records. Trust, confidentiality, and professionalism are very important.

The person hired will start with limited access and responsibilities. More duties and access may be added over time as trust and experience are built.
