Responsibilities

  • Answer phone systems promptly, providing accurate information or transferring calls as needed
  • Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy
  • Coordinate calendar management and appointment scheduling for staff members or clients
  • Assist with office management duties such as supply inventory, mail distribution, and maintaining office equipment
  • Provide excellent customer service by addressing inquiries via phone or email, ensuring a positive experience for clients and visitors
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare reports and presentations
  • Support clerical tasks including typing correspondence, organizing files, and managing office documentation with attention to detail
  • Handle phone etiquette professionally while managing incoming calls efficiently in a busy environment

Experience

  • Previous office experience or administrative support roles preferred; experience as a receptionist or personal assistant is advantageous
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Gmail, Drive) essential for daily operations
  • Bilingual abilities are a plus to serve diverse client needs effectively (English and Spanish)
