Office Assistant / Front Desk (Mental Health)

Job Summary
We are seeking a dynamic and compassionate Office Assistant / Front Desk professional to join our mental health practice. In this vital role, you will serve as the first point of contact for clients, visitors, and staff, ensuring a welcoming and organized environment. Your energetic approach and excellent organizational skills will help streamline daily operations, manage appointments, and support administrative functions. This position offers an opportunity to contribute to a positive mental health environment while developing your office management expertise.

Responsibilities

  • Greet clients and visitors warmly, providing exceptional customer service and maintaining a professional front desk presence
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
  • Schedule appointments and calendar management for clinicians and staff using digital tools such as Google Workspace or Microsoft Office
  • Perform data entry, filing, and maintain accurate records of client information while ensuring confidentiality and compliance with privacy standards
  • Handle incoming and outgoing correspondence, including proofreading documents for clarity and accuracy
  • Assist with office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and organizing files for easy retrieval
  • Support administrative duties like proofreading forms, managing office emails, and coordinating with external vendors or service providers

Experience

  • Prior office experience in a healthcare or mental health setting is highly preferred
  • Demonstrated clerical experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Experience with multi-line phone systems, calendar management, and customer support roles
  • Bilingual abilities are a plus to better serve diverse client populations
  • Knowledge of medical or dental receptionist duties is advantageous but not required
  • Personal assistant or administrative support experience will be considered beneficial
