Job Overview
We are seeking a dynamic and organized Office Assistant specializing in roofing industry support to join our team. This role is vital in ensuring the smooth operation of our office functions, providing exceptional customer service, and supporting roofing project coordination. The ideal candidate will be energetic, detail-oriented, and possess strong administrative skills to help streamline daily activities, manage communications, and assist with office management tasks. Duties

  • Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and enthusiasm
  • Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette
  • Handle scheduling and calendar management for roofing projects, appointments, and meetings using digital tools like Google Workspace or Microsoft Office
  • Maintain accurate data entry records for project documentation, customer information, and office correspondence
  • Support bookkeeping activities including invoicing, billing, and basic QuickBooks data management
  • Organize files, documents, and project records through effective filing systems—both physical and digital—ensuring easy retrieval
  • Provide exceptional customer support via phone or email, addressing inquiries promptly and professionally while demonstrating strong organizational skills

Qualifications

  • Proven office management experience with a focus on clerical and administrative tasks in a professional setting
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
  • Experience with QuickBooks or similar accounting software is highly desirable
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are a plus to assist diverse clientele and team members
  • Previous experience in customer service or as a receptionist—preferably in construction or roofing industries—is advantageous
  • Demonstrated phone etiquette skills along with the ability to handle multi-line phone systems confidently
  • Knowledge of office procedures such as proofreading documents, filing systems, calendar management, and time management techniques
  • Personal assistant or medical/dental receptionist experience is beneficial but not required
