Responsibilities
- Greet visitors and clients with a friendly, professional demeanor, providing excellent customer support at the front desk
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies inventory
- Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports and documents
Qualifications
- Proven office experience or clerical background demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, data entry, and basic bookkeeping tools like QuickBooks
- Excellent communication skills with strong phone etiquette; bilingual ability is a plus for serving diverse clients
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Experience in medical or dental receptionist roles is advantageous but not required
- Personal assistant or administrative experience that includes calendar management and customer support functions is preferred
- Ability to type quickly with accuracy and perform proofreading as needed
