Office Assistant/Receptionist

Overview
We are seeking a professional and friendly Office assistant/receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities

  • Answer phone calls with excellent phone etiquette, ensuring all inquiries are addressed promptly.
  • Manage the front desk operations, including scheduling appointments and maintaining the reception area.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date in job file management database.
  • Assist with calendar management for team members, coordinating meetings and appointments as needed.
  • File documents systematically to ensure easy retrieval of information.
  • Provide administrative support, including handling correspondence and preparing reports.
  • Support personal assistant duties as required, assisting executives with daily tasks.
  • Responsible for clear and efficient project communication with the customer and project stakeholders
  • Daily project(s) oversight to include monitoring status, audit, and work-in-progress
  • Review and validate job site documentation
  • Work closely with Project Managers to ensure thorough and accurate project documentation from beginning to end
  • Collaborate and assist with other departments, as needed.

Requirements

  • Proven experience in a receptionist or administrative role is preferred.
  • Strong phone etiquette with excellent verbal communication skills.
  • Exceptional time management skills to prioritize tasks effectively.
  • Proficiency in data entry and basic computer applications (Microsoft Office Suite).
  • Ability to maintain a professional demeanor while managing multiple responsibilities at the front desk.
  • Previous experience in calendar management is beneficial for coordinating schedules.

  • 8 hour shift
  • Day shift
  • Weekends as needed
