Office Assistant/Receptionist

Job Summary
We are seeking a dynamic and highly organized Office Assistant/Receptionist to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
  • Operate phone, directing calls accurately and courteously using proper phone etiquette
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Schedule appointments, manage calendars, and coordinate meetings efficiently using Microsoft Office/Excel.
  • Provide customer support by answering inquiries, assisting with inquiries in person or via phone/email, and ensuring positive interactions
  • Perform clerical tasks such as typing correspondence, preparing reports, handling mail, and maintaining office supplies
  • Support bookkeeping activities using software to track expenses and invoices

Requirements

  • Proven office management experience with a strong background in administrative support roles
  • Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel) and data entry skills
  • Prior experience in clerical tasks such as filing, proofreading, and document organization
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Exceptional phone etiquette skills with experience handling multi-line phone systems and providing customer service
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Personal assistant
  • Knowledge of bookkeeping software is advantageous
  • Ability to manage time efficiently while prioritizing tasks to meet deadlines
