We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! Duties
- Greet visitors and direct them appropriately, maintaining a positive first impression
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Maintain appointment calendars, schedule meetings, and manage calendar updates using Google Workspace or Microsoft Office tools
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
- Support office management tasks such as supply inventory, mail distribution, and record keeping
- Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and phone etiquette best practices
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Knowledge of QuickBooks for bookkeeping and basic financial recordkeeping
- Excellent time management skills to prioritize tasks efficiently in a fast-paced environment
- Previous experience as a dental or medical receptionist is a plus, including calendar management and patient communication
- Personal assistant experience or office management background is advantageous for supporting various administrative functions
