Office Assistant/Receptionist

We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional customer service and administrative support. Duties

  • Greet visitors and direct them appropriately, maintaining a positive first impression
  • Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain appointment calendars, schedule meetings, and manage calendar updates using Google Workspace or Microsoft Office tools
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management tasks such as supply inventory, mail distribution, and record keeping
  • Provide customer support by addressing inquiries promptly and professionally, ensuring excellent service at all times

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi-line phone systems and phone etiquette best practices
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Knowledge of QuickBooks for bookkeeping and basic financial recordkeeping
  • Excellent time management skills to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as a dental or medical receptionist is a plus, including calendar management and patient communication
  • Personal assistant experience or office management background is advantageous for supporting various administrative functions
