Office Assistant/Receptionist

Job Summary
We are seeking a proactive and organized Office Assistant/Receptionist to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. Duties

  • Greet visitors and clients warmly, providing exceptional customer service and maintaining a professional front desk presence
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
  • Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using digital tools such as Google Workspace and Microsoft Office
  • Assist with calendar management, scheduling appointments, meetings, and reminders for staff members
  • Support office management tasks such as supply inventory, ordering office supplies, and maintaining cleanliness of common areas
  • Perform clerical duties including proofreading documents, managing spreadsheets, and supporting bookkeeping activities using QuickBooks or similar software

Requirements

  • Proven experience in an office environment or as a receptionist with strong clerical skills
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with multi-line phone systems and phone etiquette is essential
  • Knowledge of office management procedures such as filing, data entry, and calendar coordination
  • Previous experience in customer service or customer support roles preferred
  • Ability to handle sensitive information discreetly while demonstrating professionalism at all times
  • Familiarity with medical or dental receptionist duties is a plus but not required
  • Personal assistant or medical receptionist experience can be advantageous for this role
