Office Assistant/Service call dispatcher

Job Summary
We are a family owned and operated plumbing and construction company that has been in the valley for over 60 years. We are seeking a proactive and organized Office Assistant/Service Call Dispatcher to join our team. This vital role combines office skills with efficient service call dispatching, ensuring smooth daily operations and exceptional customer support. The ideal candidate will be energetic, detail-oriented, and possess strong multitasking skills to manage administrative tasks, coordinate service appointments, and provide outstanding communication across multiple channels. This paid position offers an exciting opportunity to contribute to a well-organized office environment while supporting our service teams and clients.

Responsibilities

  • Answer multi-line phone systems promptly, directing calls accurately and courteously to appropriate departments or personnel.
  • Schedule, coordinate, and dispatch service calls efficiently using computer software and organizational tools.
  • Maintain accurate records of appointments, service requests, and client interactions through data entry and filing systems.
  • Support bookkeeping tasks such as invoicing, billing, and managing financial records using QuickBooks or similar accounting software.
  • Manage office supplies inventory, organize files, and ensure the office environment remains tidy and functional.
  • Assist with calendar management, email correspondence, proofreading documents, and other administrative duties as needed to support office operations.

Qualifications

  • Proven experience in office management, clerical work, or administrative support roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) .
  • Excellent computer literacy with the ability to learn new software quickly; experience with QuickBooks is a plus.
  • Strong phone etiquette skills with experience handling multi-line phone systems in a professional manner.
  • Previous experience in customer support or personal assistant roles is advantageous; familiarity with data entry, filing, proofreading, and calendar management is essential. Pay: $19.00 - $20.00 per hour
