We are seeking a dynamic and detail-oriented Office Clerk to join our team! Duties
- Greet visitors professionally at the front desk, answer multi-line phone systems, and direct calls with excellent phone etiquette
- Manage front desk responsibilities, including handling incoming correspondence, mail distribution, and visitor sign-in procedures
- Perform data entry and maintain accurate filing systems both physically and digitally using tools like Google Workspace and Microsoft Office
- Assist with office management tasks such as calendar management, scheduling appointments, and coordinating meetings
- Support bookkeeping activities using QuickBooks or similar accounting software, including basic invoicing and expense tracking
- Provide customer support by responding promptly to inquiries via phone or email, ensuring positive interactions
- Perform clerical duties such as proofreading documents, organizing files, and maintaining office supplies
Requirements
- Proven office experience or clerical experience demonstrating organizational skills and attention to detail
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with QuickBooks or bookkeeping software is a plus; experience in medical or dental receptionist roles is advantageous
- Exceptional time management skills with the ability to prioritize tasks efficiently
- Personal assistant or medical receptionist experience is beneficial for understanding complex scheduling and customer support needs
- Ability to perform data entry accurately with a high typing speed; proofreading skills are important for document quality assurance
- Fluent in both Chinese and English
