Office Coordinator

Whether it's helping cure hunger, providing emergency housing, or overcoming poverty, The Waukesha Salvation Army does it all! Waukesha County annually serves 16,000 free, hot meals in their 3/evenings per week community meal program. Not only that, we also annually giveaway 50,000 loaves of bread from our free bread room, provide 5,000 meals to school families for the weekends and distribute 7,000 sack lunches to hungry families in our summer feeding program! The Office Coordinator will serve as the primary point of contact for visitors and callers to the Waukesha Corps while providing comprehensive administrative support. This role will facilitate effective communication within the office, support Corps Officers in their administrative needs, and ensure the smooth operation of the Corps Community Center.

Reception

  • Answer all telephone calls in a courteous and professional manner, transferring calls to appropriate personnel and taking messages as necessary.
  • Greet all guests warmly, providing information about the Corps Community Center's services and ensuring they are directed appropriately.
  • Maintain up-to-date knowledge of services offered at the Corps Community Center and provide referral information to other agencies as needed and directed.

Administrative Support:

  • Perform general office duties, including filing, handling mail, managing appointments, and general clerical assistance.
  • Support the Corps Officer(s) by performing their duties such as photocopying, assembling materials, filing, and preparing correspondence, collecting statistics.
  • Prepare and process mass mailings, thank-you letters, and other correspondence as needed.
  • Open the Corps Community Center building in a timely manner and assist clients and visitors in navigating the facility.

Coordination of Community Services:

  • Provides administrative support to the officers and leadership team to aid in coordination of Corps and Community Center programming, including the Red Kettle Campaign and Angel Tree.
  • Processes applications and ID for We Energies Positive ID.

Education: High School Diploma or equivalent.

Experience: At least 2 years in an administrative or receptionist role, preferably in a non-profit or social services setting.

Certifications: Valid Wisconsin Driver's License with clearance to drive from TSA insurance is preferred.

Compensation: $17.84 - $22.30/hour, based on experience.
