Office Coordinator

Under the immediate supervision of the School Director, the Ross Valley Charter School Office Coordinator is an important member of the school’s administrative team and works to ensure that parents, students, staff, community partners and school visitors are consistently greeted with a welcoming, professional environment.

Summary of Duties

This on-site position is ideal for a self-motivated, organized multi-tasker and skilled communicator who is capable of working with children and adults in a kind, cooperative manner and enjoys working within a school community and having frequent, in person contact with parents, teachers, and students.

Key Responsibilities

  • Manages and maintains an organized, professional, and welcoming school office
  • Communicates harmoniously with parents and school staff
  • Greets students, families, and other visitors as they arrive on campus
  • Acts as the office receptionist: receives and answers phone inquiries; refers messages for staff and students; clearly and confidently conveys information about the school, its schedule and calendar of events, and its policies and procedures
  • Responds to office emails in a timely and professional manner
  • Completes filing and administrative office tasks
  • Keeps daily attendance records and prepares attendance reports; verifies student absences and/or tardies
  • Coordinates the school lunch program, including being the point of contact for the school lunch provider; sets up lunch daily
  • Coordinates supply orders
  • Administers first aid; makes necessary calls for assistance; prepares student and staff accident reports
  • Coordinates school communications and newsletters
  • Assists the School Director in drafting reports as requested
  • Assists in curating school photos and maintaining the school’s social media presence
  • Reserves facilities and secures vendors for school events, as needed
  • Participates in staff and office team meetings and in-service training programs
  • Supervises students outside of class, on the playground, and in the lunch area as scheduled and as needed
  • Other duties as assigned

Qualifications

Bachelor’s Degree

Experience with children, preferred

Prior administrative experience in a school or office setting

Strong writing and proofreading skills

Proficient in Google Workspace (Docs, Sheets, Slides, Drive)

Current CPR/First Aid Certificate or willingness to obtain certification

Bilingual (Spanish), a plus

Knowledge of:

  • Concepts of child development and behavior (or willingness to learn)
  • Conflict resolution techniques (or willingness to learn)
  • Clerical duties and necessary skills

Ability to:

  • Model desired behaviors
  • Maintain calm when emotions are running high
  • Maintain a patient, warm and helpful attitude towards students and parents
  • Communicate effectively in person and in writing with all stakeholders
  • Complete work accurately and in a timely manner

  • Work with confidentiality and discretion
  • Collaborate effectively with colleagues and with the School Director

Ross Valley Charter is a public charter school located in Fairfax, California serving students in grades TK-5. Founded by a group of dedicated teachers and community members, RVC opened our doors in August 2017.

Pay: $26.00 - $40.00 per hour
