Office Coordinator / Personal Assistant

New Mexico Rodent Specialists is hiring a dependable, organized, and professional Personal Assistant / Office Coordinator to help keep our office, schedule, and daily operations running smoothly.

This is a key support role for ownership and management. The right person will be punctual, detail-oriented, comfortable talking with customers, and able to shift between office tasks, scheduling, errands, and daily administrative support. This role is designed to start out part time, 08:00 - 17:00 M, Th, Fri but could easily grow to full time in a very short period of time.

Responsibilities

  • Open the office each morning and help keep the workspace organized and professional.
  • Answer incoming phone calls, take accurate notes, and route calls appropriately.
  • Manage and update the owner’s schedule, appointments, reminders, and daily priorities.
  • Assist with customer communication, appointment confirmations, and basic follow-up.
  • Run business-related errands as needed.
  • Help prepare basic documents, forms, emails, and internal notes.
  • Maintain office supplies and help coordinate vendor or staff needs.
  • Support management with day-to-day administrative tasks.
  • Help keep company systems, calendars, and records organized.
  • Assist with special projects as assigned.

Ideal Candidate

  • Professional, reliable, and highly organized.
  • Comfortable answering phones and speaking with customers.
  • Able to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Able to prioritize tasks without constant supervision.
  • Comfortable using email, calendars, basic office software, and mobile apps.
  • Has a valid driver’s license and reliable transportation.
  • Positive attitude, strong follow-through, and a willingness to help wherever needed.

This role has the potential to grow into an Executive Assistant position after a demonstrated period of strong performance, reliability, discretion, and ownership of responsibilities. As the company continues to grow, the right person may take on higher-level scheduling, project coordination, executive support, vendor communication, internal follow-up, and operational support responsibilities, with increased compensation tied to the expanded role.
