Job Summary
We are seeking a dynamic and organized Office Lead to oversee daily office operations, ensuring a smooth and efficient environment that supports our team’s productivity and growth. As the Office Lead, you will be the central point of contact for administrative functions, vendor relations, and team management. Your energetic approach will foster a positive workplace atmosphere while maintaining high standards of organization, communication, and operational excellence. This role is vital in coordinating office activities, managing schedules, and supporting human resources functions to create an engaging and well-run office environment.
Responsibilities
- Manage day-to-day office operations, including front desk duties, multi-line phone systems, and visitor management to ensure a welcoming environment.
- Oversee scheduling and calendar management for team meetings, appointments, and events to optimize time utilization.
- Supervise administrative staff and coordinate training & development initiatives to enhance team skills and performance.
- Handle vendor management by coordinating with suppliers, service providers, and contractors to ensure timely delivery of services and supplies.
- Maintain accurate bookkeeping records, including invoicing, expense tracking, payroll processing using QuickBooks, and budgeting oversight.
- Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with employee relations.
- Organize event planning activities for team-building events or office celebrations to foster a positive work culture.
- Ensure compliance with office policies by managing filing systems, record keeping, and administrative documentation.
- Assist with medical office management tasks if applicable, including appointment scheduling and patient record organization.
- Promote effective communication across teams through clear messaging and professional phone etiquette.
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Excellent communication skills—both verbal and written—to facilitate clear interactions within the team and with external vendors.
- Proficiency in QuickBooks for bookkeeping, payroll processing, and budgeting tasks.
- Experience in event planning, vendor management, human resources support, and calendar management.
- Familiarity with medical office procedures or healthcare environments is a plus but not required.
- Knowledge of multi-line phone systems, front desk operations, filing systems, and clerical tasks.
- Demonstrated ability to lead a team effectively while fostering a collaborative work environment.
