We are seeking a highly organised and proactive Office Manager to join our team in Austin, Texas. The ideal candidate will be the backbone of our office operations, ensuring a smooth and efficient work environment that allows our mortgage professionals to focus on providing exceptional service. You will be instrumental in maintaining the positive, focused, and client-centred culture that defines our company.
Responsibilities
As the Office Manager, you will be responsible for a wide range of administrative and operational tasks. Your key duties will include:
- Overseeing the day-to-day operations of the office to ensure everything runs smoothly.
- Managing office supplies, inventory, and placing orders as necessary.
- Acting as the first point of contact for visitors, clients, and vendors, embodying the company's professional and welcoming ethos.
- Organising and coordinating company meetings, appointments, and corporate events.
- Handling incoming and outgoing correspondence, including emails and phone calls.
- Liaising with facility management vendors, including cleaning, catering, and security services.
- Assisting with the onboarding process for new employees and providing general administrative support to the team.
- Managing office budgets, processing invoices, and assisting with expense reports.
- Ensuring the office environment is clean, organised, and compliant with health and safety regulations.
Qualifications
We are looking for a candidate who can demonstrate the following skills and experience:
- Proven experience in an Office Manager, Front Office Manager, or senior Administrative Assistant role.
- Exceptional organisational and time-management skills, with a proven ability to prioritise tasks and meet deadlines.
- Strong written and verbal communication skills, with a professional and courteous manner.
- Proficiency in the full Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent problem-solving abilities and a proactive, can-do attitude.
- The ability to work independently and as part of a team in a fast-paced environment.
- A high level of discretion and professionalism when handling confidential information.
- Previous experience within the financial services or mortgage industry is highly desirable but not essential.
