Pay: $35 – $40 per hour + Monthly Insurance Stipend

As we continue to grow rapidly, we are seeking a detail-oriented and tech-savvy Office Manager to strengthen our operations and ensure smooth financial and administrative performance.

Position Summary

The Office Manager will be the administrative and operational hub of Veterans Choice Services. This role manages payroll, invoicing, vendor coordination, and financial reporting while supporting the owner and ensuring all office processes run efficiently. You’ll be handling a wide range of administrative and accounting tasks in a dynamic contracting environment — perfect for someone who thrives on organization, accuracy, and teamwork.

Key Responsibilities

Manage time & attendance systems, ensuring accurate payroll and employee records. Process payroll and maintain compliance with labor regulations. Utilize QuickBooks for billing, invoicing, accounts payable, and accounts receivable. Create and manage spreadsheets and reports for contract tracking, job costing, and financial analysis. Contact and coordinate with vendors and subcontractors — quotes, invoices, and follow-up

Support contract administration and maintain all documentation and compliance records. Assist with insurance, benefits, and HR-related tasks as needed. Maintain organized digital and physical filing systems. Provide executive support to the owner on day-to-day operations and special projects

Qualifications✅ Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)✅ Skilled in QuickBooks for billing, invoicing, and financial tracking✅ Strong ability to create and manage spreadsheets and reports✅ Experience with payroll and timekeeping systems✅ Excellent communication and organizational skills✅ High attention to detail and ability to manage multiple priorities✅ Minimum 3–5 years of experience in an office management or administrative accounting role✅ Advanced English fluency (written and verbal)

Preferred Traits: Self-motivated and proactive — able to identify and solve problems independently. Comfortable in a fast-paced, growing environment. Demonstrates integrity, accountability, and reliability. Interest or background in construction, contracting, or government services is a plus.

Compensation & Benefits

$35 – $40 per hour, based on experience
