Office Manager

ROLE: Office Manager

Reports to: Integrator / Director of Operations

Location: Franklin, TN / Remote (hybrid as applicable)

Type: Full-Time

WHO WE ARE LOOKING FOR

The Director of Operations ensures the organization runs with clarity, accountability, and operational excellence. This leader integrates vision into execution by building systems, maintaining financial and data integrity, and leading teams to achieve measurable company objectives. This role owns the operational engine of the organization.

CORE RESPONSIBILITIES

Lead, Manage, and Hold Accountable

  • Lead, manage, and hold team members accountable to company objectives and performance standards. Ensure clarity of roles, measurable KPIs, and regular performance reviews. Drive execution of quarterly Rocks and annual goals. Cultivate a high-performance, ownership-driven culture.

Compliance and Regulatory Integrity

  • Ensure all regulatory, legal, and compliance requirements are met accurately and on time. Oversee proper documentation, filings, and reporting obligations. Maintain internal controls to mitigate risk and protect organizational integrity. Serve as the operational safeguard for governance standards.

Financial Documentation and Invoice Management

  • Own accurate and timely processing of invoices and financial documentation. Ensure expense tracking aligns with approved budgets. Oversee accounts payable and receivable systems and documentation accuracy. Partner with accounting or CPA to ensure clean books and audit readiness.

Data Integrity and Reporting

  • Maintain the accuracy and integrity of KPIs, dashboards, and reporting systems. Ensure data flows consistently across platforms such as CRM, project management tools, and finance systems. Provide leadership with clear, reliable operational reporting. Identify performance gaps and implement corrective action.

Process and Systems Ownership

  • Own company-wide processes and system documentation. Ensure SOPs are created, maintained, and followed. Continuously refine operational workflows for efficiency and scalability. Evaluate and implement technology solutions that support growth.

Office Operations and Infrastructure

  • Provide strategic oversight of office operations and administrative infrastructure. Ensure resources, tools, and team support structures are aligned with company objectives. Oversee vendor relationships, contracts, and operational logistics. Ensure operational readiness for growth and expansion.

Budget and Financial Planning

  • Own departmental budget development and monitoring. Ensure financial planning aligns with strategic priorities. Track spending against projections and adjust as needed. Promote fiscal responsibility across departments.

EDUCATION & EXPERIENCE

  • Proven Office Manager experience
  • 5+ years operations or high level admin experience in a nonprofit leadership
  • Strong Asana and productivity tool experience
  • Degree or equivalent experience
  • Military experience preferred

PHYSICAL REQUIREMENTS:

Has the ability to function independently. Possess the ability to speak. Has the physical ability to be able to lift up to 25 pounds (with or without assistance). This position also may require long periods of standing up and walking.

JOB TYPE/SCHEDULE:

Full-time, 40-hour work week non-exempt with no overtime.

Job Type: Full-time

Pay: $50,000.00 - $70,000.00 per year
