Legal Operations Coordinator

Job Title: Legal Operations Coordinator

Job Type: 1099 - Contract Worker

Location: Remote

Reporting: This position will report to the Operations Director.

Minimum Requirements

  • High School diploma or GED; Associate’s degree preferred
  • 1–3 years of operations or legal support experience
  • Advanced attention to detail and organizational skills
  • Strong Microsoft Excel proficiency
  • Experience working with web-based applications and shared document systems
  • Ability to manage multiple tasks and maintain accurate data records

Skills Required

  • Minimal HTML skills, basic familiarity with web based applications
  • Microsoft Excel fluency
  • Strong attention to detail

Responsibilities

This position will be responsible for helping with the following daily tasks:

Manage the Requested Tasks List

  • Record new requests from paralegals and attorneys
  • Mark status as Not Started, In Queue, Running, Complete, or Delivered
  • Provide estimated delivery date/time to requestors

Monitor the Intake Dashboard (in Lead Docket)

  • Resolve Opportunities not automatically converted to Leads
  • Disregard duplicates
  • Enter/correct any missing or invalid contact data (by searching for person's data using Spokeo UI)
  • Promote Opportunity to Lead or mark as Rejected (if missing data cannot be corrected)

Create new Intake Forms for Season4 campaigns

Requires minimal HTML skills

  • Clone Season4 Template
  • Change properties
  • Add/remove/change eligibility questions
  • Verify/update disqualification rules (using FormAssembly UI)
  • Change the Retainer HTML (copy/paste of HTML provided, no need to know or edit HTML for this)
  • Enable the Season4 Connector
  • Publish form with custom URL (via Form Assembly UI; just requires entering unique "slug" text)
  • Change Notifications to point confirmation to the new Form ID
  • Change response email to intake-responses@brysonpllc.com
  • Change Collaboration settings to share form with webmaster@seasons4.com
  • Test the new form(s)

Upload notice letter templates to Lead Docket (or new system)

  • Reformat and spellcheck notice letter templates provided by attorneys/paralegals
  • Create new Lead Docket Status for the case (project)
  • Add Document Template to Lead Docket, associated with new Status

Research/fix leads with missing or invalid contact data (using Spokeo UI)

  • Update record in Lead Docket and FileVine (if claimant has already been copied to FileVine)

Provide claimants' lists to attorneys

Run reports from Lead Docket (or new system) and export to Excel

Clean up the Excel file before delivery:

  • Clean up "bad" addresses, repeated names, misspelled city names, etc
  • Reconcile lists of claimants with files available in SharePoint (using Excel)

Manage SharePoint Documents Sharing Hub

  • Create new folders, move files from one folder to another, share links to folders, etc

Pay Rate

The hourly pay range is $25 - $33/hr depending on experience and qualifications.

Anticipated Working Hours

We anticipate that this position will require approximately 25-30 hours per week. This may vary depending on firm needs or special projects. This position is expected to work normal business hours. Specifics will be determined by the supervisor based on firm needs.
