Position Overview
The Office Manager is responsible for overseeing the daily administrative and operational functions of the company to ensure efficient workflow and a productive work environment. The role supports management by coordinating internal operations, supervising administrative processes, and ensuring that company activities run smoothly across the following main departments:
Business Development, Digital Marketing, and Administration.
The Office Manager will act as the central coordination point of the office, ensuring proper organization, communication, and execution of company operations.
Key Responsibilities:
- Oversee the day-to-day operations of the office and ensure all administrative functions run efficiently.
- Implement and maintain effective office procedures, workflows, and operational systems.
- Coordinate activities between departments including Business Development, Marketing, and Administration.
- Monitor operational efficiency and recommend improvements to increase productivity.
Administrative Oversight
- Manage office documentation, contracts, files, and internal records.
- Ensure company documentation and records are properly organized and maintained.
- Supervise office supplies procurement and inventory management.
- Coordinate scheduling, meetings, and internal communications.
Staff Coordination
- Support management in coordinating staff schedules and task assignments.
- Monitor employee attendance and general office discipline.
- Assist in onboarding new employees and coordinating training activities.
- Ensure employees follow company policies and operational procedures.
Financial and Operational Support
- Assist management with tracking operational expenses and budgets.
- Coordinate with accounting for administrative expenses and documentation.
- Monitor service providers, suppliers, and office-related expenditures.
Client and Business Support
- Assist in coordinating meetings with clients and partners.
- Ensure proper preparation of meeting materials and documentation.
- Support Business Development and Marketing teams with administrative coordination.
Compliance and Documentation
- Ensure company administrative procedures comply with relevant regulatory requirements.
- Maintain organized records of contracts, agreements, and operational documents.
- Support management with documentation required for company platforms and official procedures.
Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field.
- 3+ years experience in office management, administration, or operations coordination.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office or similar productivity software.
- Ability to manage multiple responsibilities and maintain operational efficiency.

Reporting Structure
