We are seeking a highly organized and experienced Office Manager to oversee daily operations and ensure our office and field teams run efficiently. This is a leadership role for someone who can take control, manage multiple moving parts, and keep both employees and customers on track.
The ideal candidate will have a background in dispatching, skilled trades, construction, plumbing or other industrial/service-based environments and understands the urgency and demands of coordinating field operations.
Key Responsibilities:
- Manage and lead daily office operations and administrative staff
- Dispatch and coordinate field crews, ensuring efficient scheduling and routing
- Oversee job scheduling, including handling last-minute changes and emergency calls
- Act as the main point of contact for customers, resolving issues and de-escalating concerns professionally
- Oversee Accounts Payable (AP) and Accounts Receivable (AR), including invoicing and collections
- Track job progress and ensure timely completion and customer satisfaction
- Maintain clear communication between office staff, field technicians, and customers
- Monitor workflow, identify inefficiencies, and implement process improvements
- Assist with hiring, onboarding, and training of office personnel if needed
- Ensure all documentation, records, and systems are accurate and up to date
Qualifications:
- Previous experience in office management, dispatching, or operations within a service-based or industrial industry
- Strong leadership skills with the ability to manage and hold a team accountable
- Proven ability to multitask and prioritize in a fast-paced, high-demand environment
- Experience with AP/AR, invoicing, scheduling, and customer service
- Excellent problem-solving skills and ability to think quickly under pressure
- Strong communication skills — both with customers and internal teams
- High level of organization and attention to detail
- Proficiency with computers, scheduling systems, and basic office software
- Ability to handle difficult customer situations with professionalism and confidence

- 2 years preferred in an office management role
Schedule:
Monday – Friday | 8:00 AM – 5:00 PM
Pay: $18.00 per hour
Work Location: In person
