Office Manager

We are seeking a highly organized and experienced Office Manager to oversee daily operations and ensure our office and field teams run efficiently. This is a leadership role for someone who can take control, manage multiple moving parts, and keep both employees and customers on track.

The ideal candidate will have a background in dispatching, skilled trades, construction, plumbing or other industrial/service-based environments and understands the urgency and demands of coordinating field operations.

Key Responsibilities:

  • Manage and lead daily office operations and administrative staff
  • Dispatch and coordinate field crews, ensuring efficient scheduling and routing
  • Oversee job scheduling, including handling last-minute changes and emergency calls
  • Act as the main point of contact for customers, resolving issues and de-escalating concerns professionally
  • Oversee Accounts Payable (AP) and Accounts Receivable (AR), including invoicing and collections
  • Track job progress and ensure timely completion and customer satisfaction
  • Maintain clear communication between office staff, field technicians, and customers
  • Monitor workflow, identify inefficiencies, and implement process improvements
  • Assist with hiring, onboarding, and training of office personnel if needed
  • Ensure all documentation, records, and systems are accurate and up to date

Qualifications:

  • Previous experience in office management, dispatching, or operations within a service-based or industrial industry
  • Strong leadership skills with the ability to manage and hold a team accountable
  • Proven ability to multitask and prioritize in a fast-paced, high-demand environment
  • Experience with AP/AR, invoicing, scheduling, and customer service
  • Excellent problem-solving skills and ability to think quickly under pressure
  • Strong communication skills — both with customers and internal teams
  • High level of organization and attention to detail
  • Proficiency with computers, scheduling systems, and basic office software
  • Ability to handle difficult customer situations with professionalism and confidence

Requirements:

  • Valid driver’s license
  • Reliable transportation
  • Ability to pass pre-employment screenings
  • 2 years preferred in an office management role

Schedule:

Monday – Friday | 8:00 AM – 5:00 PM

Pay: $18.00 per hour
