POSITION: UoPeople is seeking a qualified candidate for a full-time position as Office Manager at its office in Delaware. This position calls for a minimum of 20 hours per week, to be worked Monday through Friday.


REPORTS TO: VP Finance



GENERAL PURPOSE: The U.S. Office Manager is responsible for overseeing day-to-day administrative operations and contributes to global administrative activities, offering the opportunity to work with international teams across the University’s functions. This role requires strong organizational skills, attention to detail, and the ability to manage sensitive data, documents, and processes across multiple systems.


Administrative & Office Operations

• Handle incoming admissions transcripts, human resources documents, and general mail

• Manage graduation document processing

• Provide voicemail and telephone support when required

• Support general office operations and administrative workflows

• Provide administrative support to various UoPeople staff as needed

• Assist with employee laptop logistics, including shipping, tracking, and coordination of repairs

• Process official attestations (Notary, Apostille, Federal) through relevant government offices, including scanning, uploading, shipping, and tracking

• Affixing notary seal and signature to official forms. Ensuring compliance with state notary regulations.


REQUIREMENTS:

• Minimum education required: bachelor’s degree

• 3+ years of experience in office management, administration, and supporting HR processes

• Proficiency in Microsoft Excel (data validation, formulas, reporting)

• Experience handling confidential and sensitive information

• Strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Experience working in an academic environment, especially with university admissions (advantage)

• Experience with CRM software (advantage)
