Company Overview:
Logan Smith Machine Co., Inc. designs and manufactures products for the high-performance automobile racing industry, including drag racing, sprint cars, road racing, and Street Outlaws/No Prep Kings. All of our products are engineered and produced at our facility in Rocklin, CA.
Key Responsibilities
Office Management & Administration
- Oversee daily office operations to ensure efficiency and organization
- Develop, update, and maintain office policies and procedures
- Provide administrative support to leadership, including the CEO
- Answer phones and respond to customer inquiries in a professional manner
- Manage incoming website and email communications
Accounting & Order Processing
- Generate invoices in QuickBooks, ensuring accuracy and timely billing
- Process accounts payable and accounts receivable transactions
- Receive and record customer payments accurately
- Enter and process customer orders, including shipping details
Shipping & Production Coordination
- Coordinate workflow between office and assembly departments
- Oversee order fulfillment from packaging through shipment
- Create shipping labels and ensure accurate shipment processing
Purchasing & Inventory Management
- Purchase office supplies, shop materials, and tooling
- Maintain vendor relationships and negotiate pricing when appropriate
- Monitor inventory levels and place orders as needed
Customer Support
- Provide basic product support and document customer applications
- Follow up with tool repair customers and manage related orders
Marketing & Social Media
- Assist with social media management (Shopify, Facebook, Instagram)
- Create and update marketing materials
- Coordinate logistics and materials for trade shows
Team Collaboration
- Work closely with shop employees to support a collaborative and productive environment
Optional (Include if applicable)
- Process employee timecards and assist with payroll preparation in accordance with company policies
Qualifications
- Minimum 2 years of office management or administrative experience
- Experience with QuickBooks Desktop and Microsoft Office Suite
- Strong organizational and time management skills
- High attention to detail and problem-solving ability
- Excellent verbal and written communication skills
- Ability to multitask and adapt in a dynamic environment
- Experience in a manufacturing or machine shop environment preferred
- Familiarity with social media platforms is a plus
