We are seeking an organized, detail-oriented, and leadership-minded Office Manager to run the daily operations of our insurance agency. In this role, you will maintain workflow efficiency, manage client communication channels, supervise support staff, and handle basic tasks like agency event planning. The ideal candidate ensures our office remains strictly compliant with state insurance regulations while cultivating a high-performing environment that supports our sales agents.
Primary Responsibilities
- Operational Management: Establish office policies, implement efficient filing systems, and manage day-to-day administrative operations.
- Staff Supervision: Hire, train, onboard, and evaluate administrative and support personnel.
- Client & Claims Support: Screen incoming customer inquiries, route claims to the correct departments, and process policy changes.
- Compliance Tracking: Verify and monitor the status of employee insurance licenses and state continuing education requirements.
- Inventory & Facilities: Order office supplies, manage vendor contracts, and coordinate technology and equipment maintenance.
- Sales Coordination: Assist in managing direct-mail marketing campaigns and tracking agent performance goals.
Skills and Qualifications
- Industry Knowledge: Strong understanding of insurance products, policy structures, and claims terminology.
- Technical Proficiency: Mastery of Agency Management Systems (AMS), customer relationship management (CRM) software, and Microsoft Excel.
- Leadership: Proven capability to manage workloads, resolve customer complaints, and motivate a team.
- Organization: Exceptional capacity to prioritize tasks, multi-task, and manage confidential paperwork securely.
- Communication: Articulate verbal and written skills tailored for interacting with both clients and underwriters.
Education and Experience Requirements
- Experience: Minimum of 2–3 years of experience in office management or advanced administrative roles, preferably within an insurance or financial setting.
- Education: High school diploma or equivalent required; a Bachelor’s degree in business administration, finance, or a related field is highly preferred.
- Licensing: Possession of an active state Property & Casualty (P&C) or Life & Health (L&H) insurance license is preferred but not always required at the time of hire.
