ABOUT US
Max's Print Shop is a fast-growing print shop based in Marcy, NY, committed to delivering high-quality print solutions to our clients. As we continue to expand, we are looking for a strong, experienced Office Manager to be the backbone of our daily operations and work directly alongside the owner.
POSITION OVERVIEW
We need a take-charge professional who can hit the ground running. This is a hands-on role that requires someone mature, dependable, and highly skilled in financial administration. You will report directly to the owner and play a critical role in keeping Max's Print Shop organized and running efficiently.
KEY RESPONSIBILITIES
Accounting & Finance
- Manage all Accounts Receivable — invoicing clients, tracking payments, and following
up on outstanding balances
- Handle all Accounts Payable — processing vendor invoices, scheduling payments, and accurate records
- Maintain accurate financial records using QuickBooks Online
- Reconcile accounts, generate financial reports, and assist with month-end close
- Track cash flow and flag discrepancies to the owner promptly
Office Administration
- Oversee day-to-day office operations and ensure a well-organized, efficient work environment
- Manage vendor relationships, supply ordering, and office maintenance needs
- Maintain filing systems (digital and physical) and ensure all records are current and accurate
- Handle incoming calls, emails, and correspondence professionally
Reporting &Analysis
- Build and maintain spreadsheets and reports using Microsoft Excel
- Provide the owner with regular financial and operational updates
- Track key metrics and assist with budgeting and forecasting as needed
Team & HR Support
- Assist with onboarding new employees and maintaining personnel records
- Support payroll processing and coordinate with outside accountant as needed
- Help foster a positive, professional workplace culture
REQUIREMENTS
- Minimum 3–5 years of office management or bookkeeping experience
- Expert-level proficiency in QuickBooks Online — this is a must
- Advanced Microsoft Excel skills (formulas, pivot tables, reporting)
- Strong experience with Accounts Receivable and Accounts Payable
- Mature, professional demeanor with the ability to work independently
- Highly organized with exceptional attention to detail
- Strong communication skills — written and verbal
- Able to prioritize, problem-solve, and take ownership without being micromanaged
- Experience in a print, manufacturing, or trade industry is a plus
COMPENSATION & BENEFITS
- Salary: $42,000 – $48,000 per year, commensurate with experience
- Full benefits package available
