The office manager oversees the general administrative and accounting tasks of Redwood Forest Operating Company.

Duties Include:

General Office

  • Answer and direct phone calls, communicate with vendors, tenants, and employees.
  • Greet and direct visitors.
  • Assist with the preparation of meetings.
  • Manage incoming and outgoing correspondence, including emails, mail and packages.
  • Maintain an efficient record filing system with proper record retention periods for management to access, as needed.
  • Maintain inventory of office supplies; order new supplies, as needed.
  • Takes initiative and anticipates needs of office.
  • Provide general administrative support to all staff.

Financial and Regulatory Reporting

  • Track vehicle and equipment status.
  • Timely Remote Deposits of miscellaneous income.
  • Keep records of lease agreements on property. This includes contacting tenants; collecting payables; reconciling payments; gathering required insurance certificates; helping prepare addendums, revisions, and renewals; and filing agreements, under the supervision of the General Manager.
  • Submit reporting information requested by forestry staff or management, as needed.
  • Complete all required forms for annual business license renewals and permits, as required.

Accounts Payable

  • Process Accounts Payable Invoices and submit approved invoices to corporate office. This includes GL coding, entering and posting invoices in the accounting system, and reconciling monthly vendor statements.
  • Facilitate the submission of new vendor paperwork by requesting W-9s and other information.

Log Accounting Support

  • Assist with daily reconciliation of log load activity.
  • Perform daily scale ticket review and ensure tickets are accurate and that any corrections are made with the Scaling Bureau in a timely fashion.
  • Prepare and submit new Sale Brand and Log Purchase Agreements.

This is a full-time nonexempt position, and hours of work and days are Monday through Friday, 8:00 a.m. to 4:30 p.m.

Candidate Qualifications

  • Previous office management experience
  • Strong organizational and reconciliation skills
  • Good oral and written communication skills
  • Strong problem solving and research skills
  • Prior experience using Microsoft Word and Excel
  • Basic math skills
  • Previous experience with Great Plains or Lumbertrack, or similar software

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

Physical Demands

  • Prolonged periods of sitting or standing at a desk and working at a computer.
  • Occasional stooping, kneeling, crouching, crawling, or balancing.
  • Must frequently lift, pull, push, and/or move up to 10 pounds and occasionally up to 25 pounds.

Travel

No travel is expected for this position.

Job Type: Full-time

Pay: $28.00 - $40.00 per hour
