The Office Manager is responsible for providing overall administration and coordination for the primary revenue-based processes of all the Alliance Prosthetics and Orthotics, LLC facility locations. The primary responsibilities include medical claims processing/billing, accounts receivable and collections, and accounts payable. This position will work closely with the President to provide cooperation and support in obtaining the practice’s overall business goals and objectives, and in maintaining and guaranteeing Alliance Prosthetics & Orthotics quality service to their patients, regulatory compliance, safety standards, and mission statement.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES (Checking In)
- Ensure that patient records are appropriately updated or created (for new patients) before the patient is seen by the practitioner. This includes the patient's address, telephone number, type of insurance, primary care physician, etc., as per the required documentation format.
- Must ensure both scheduled and walk-in patients have prescriptions that are accurate, up to date, and available before the start of the visit
- Verify or delegate the verification of the insurance provider and status for all new and/or walk-in appointments
- Provide back-up assistance for peer positions and understand how to perform the position’s requirements as needed
- Responsible for keeping patients in the waiting room abreast of changes or delays in appointment time
- Ensure that the Practitioners are aware of the patient's status regarding readiness for their appointment. Additionally, responsible for informing Practitioners of no-shows.
- Perform any other duties in the best interests of Alliance Prosthetics & Orthotics, LLC, or as may be assigned by any superior.
- At the end of the day, discuss the next day's schedule with all Practitioners.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES (Checking-Out)
- Assist the patients in acquiring the appropriate referral or authorization, if required, before the day of the appointment. This includes contacting the primary care practitioner the day before the appointment to ensure that the appropriate referral is received.
- Responsible for the scheduling and documentation of all follow up appointments at the completion of the patient visit, and after they have been returned to the checkout location, will confirm and record the next appointment date for the patient and provide them with a reminder card
- Collect any deductibles or amounts responsible by the patient. Will update any required personal or treatment information to include verification of the procedure codes so the billing and collection manager can complete the claims/billing process for the visit.
- Responsible for answering the phone and scheduling appointments
- Disseminate phone messages and faxes within 1 hour of the time the message or fax was received.
- Create and maintain fax log system
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES (Billing & Collections Mgr - BCM)
- Responsible for directing and coordinating the accounts payable process
- Oversee and manage the medical claims/billing & accounts receivable / billing & collections processes each month to include:
- Review of returned claims for re-processing
- Process follow-up billing through the appropriate insuring party
- Post all payments in the billing system when there is a credit card, check, or cash charge
- Will update any required personal or treatment information to include verification that all documents are in the chart for filing of claim, and posting of the charge codes to complete the claims/billing process for the visit
- Track QA requirements for the department, summarize monthly, quarterly, and yearly, and report to clinical supervisors
SKILLS AND QUALIFICATIONS
- Must have a High School diploma
- Preferred - 1 -2 years of experience as a receptionist or administrative assistant to a professional practice
- Proven ability to communicate and work well with others, and provide assistance in the areas of accounting and administration
- Ability to organize and prioritize
- Demonstration of strong work ethics (punctual, dependable, trustworthy)
- Must be able to work overtime when required, and handle multiple tasks
- Must demonstrate physical, mental, and mechanical stamina to handle the essential functions of the job
- Ability to read, write, and orally communicate with clarity and impact
- Frequently endures persistent standing and walking
- Regularly works under pressure meeting project schedules and budget guidelines
- Frequently operates equipment conducive to performing the job
Pay: $20.00 - $24.00 per hour
