Overview
Seeking an experienced Office Manager to oversee office administration of our commercial HVAC brand. This position is also responsible for assisting with Quick Books, AIA Software, Service Titan, and Microsoft Office Products.
Key Responsibilities
- Supervise daily office operations, provide support to staff, and ensure smooth administrative processes.
- Monthly billing of all contract jobs to include AIA pay applications.
- Assist with the implementation and continued optimization of Service Titan for accounts payable, accounts receivable, and payroll processes.
- Partner with finance and leadership teams to ensure accurate data entry and compliance in Quick Books and all Service Titan financial modules.
- Prepare and maintain key reports related to office activities, service efficiency, and financial transactions.
- Support onboarding new staff, ensuring adherence to company processes.
- Ensure compliance with company, industry, and safety policies throughout office and service coordination operations.
Minimum Qualifications
- Experience as an office manager, team supervisor, or similar role in an HVAC or services environment.
- Proven leadership skills managing office and coordination of staff.
- Familiarity with business management systems; experience with ServiceTitan implementation or operation is highly preferred.
- Experience with QuickBooks Desktop and/or QuickBooks Online software
- Strong organizational, communication, and time management skills.
- Ability to work independently in a dynamic, fast-paced setting.
Preferred Experience
- Experience supporting accounts payable, accounts receivable, or payroll functions in a service business setting.
- Direct experience with Service Titan or similar SaaS business platforms.
- Background in HVAC, plumbing, or related industries.
