Office Manager

Position Summary: We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure an efficient and productive work environment. The ideal candidate will have strong administrative, communication, and problem-solving skills and be comfortable managing multiple priorities. Experience with QuickBooks and Microsoft Office Suite (Word, Excel, Outlook) will be highly beneficial. This is not a remote position.

Key Responsibilities:

  • Manage day-to-day office operations and administrative activities.
  • Maintain accurate financial records using QuickBooks, including accounts payable, accounts receivable, generate sales orders, invoicing, and providing packing slips to shipping department.
  • Update production records as items are invoiced or as new sales orders come in.
  • Maintain filing systems and ensure accurate documentation of company records.
  • Answer phones, greet visitors, and provide professional customer service.
  • Assist with compliance, safety documentation, and other manufacturing administrative requirements.
  • Schedule annual safety and environmental inspections and maintain accurate records.
  • Provide project support for Owner/President and General Manager.
  • Assist with HR duties such as:

- Benefit renewal support

- Employee record support

- Employee Handbook assistance

- Filing first reports of injury

- Workman’s comp claim support

- Document key points in employee meetings

Qualifications:

  • Minimum of 3 years of office management, bookkeeping, or administrative experience, preferably in a manufacturing environment but not required.
  • Proficiency in QuickBooks and Microsoft Excel.
  • Excellent organizational, time-management, multi- tasking, and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Willingness to take ownership of the position, offer suggestions, and assist in making decisions related to the management of the office.
  • Consistent attendance is a must.
  • The ideal candidate is bilingual in English and Spanish
