Office Manager – Accounts & Operations

Job Summary

We are seeking a dependable Office Manager – Accounts & Operations to manage day-to-day office operations, oversee basic accounting activities, track job progress, and control official communication. The role focuses on execution, coordination, tracking, and reporting, while final approvals and strategic decisions remain with management.

Key Responsibilities

1. Accounts Management (Control & Execution)

  • Prepare and issue sales invoices
  • Maintain receivables and payables records
  • Track client payments and follow up for collections
  • Maintain daily cash flow and expense records
  • Organize vouchers, bills, and financial documents
  • Coordinate with external accountant for VAT and compliance
  • Prepare weekly and monthly finance summaries

2. Operations & Job Tracking

  • Track all jobs from approval to completion
  • Maintain job status reports (quotation, production, installation, completion)
  • Coordinate with design, production, and vendors
  • Ensure timelines are met and delays are escalated
  • Prepare weekly operations and job progress reports

3. Office & Communication Management

  • Manage official email correspondence
  • Draft and send client updates, confirmations, and follow-ups
  • Maintain organized job files and documentation
  • Coordinate internally and externally for smooth office functioning

4. Administrative & Reporting Support

  • Maintain office records and documentation
  • Prepare daily, weekly, and monthly reports for management
  • Support management in follow-ups and coordination
  • Ensure discipline and organization in office processes

Requirements

  • 3–6 years experience in office management / accounts / operations
  • Good knowledge of accounting principles
  • Strong Excel and email communication skills
  • Organized, responsible, and proactive follow-up attitude
  • Ability to manage multiple tasks independently
  • Languages: English (mandatory), Hindi / Arabic (advantage)

Note: Work Location at Sajja, Shj

Job Type: Full-time

Pay: AED3,000.00 - AED4,000.00 per month
