Job Summary

We are looking for a proactive and highly organized Part-Time Office Manager & Operations Assistant to join the core team at Buildable. As we scale our "vibe coding" platform, we need a reliable professional to manage the day-to-day administrative engine and ensure our Irvine operations run with peak efficiency.

This role is ideal for someone who excels at multitasking and wants to play a vital role in a fast-paced AI startup while maintaining a flexible part-time schedule.

Key Responsibilities

  • Office Operations: Oversee daily office needs, including vendor management, supply procurement, and maintaining a professional workspace.
  • Administrative Support: Manage executive calendars, coordinate local appointments in the Irvine/Riverside area, and assist with travel logistics (e.g., coordinating upcoming trips to Boston).
  • Financial Tasks: Support bookkeeping using QuickBooks, assist with payroll processing, and maintain organized records for internal invoices.
  • Project Coordination: Assist with specialized outreach campaigns, manage lead lists for business development, and update tracking sheets for creator collaborations.
  • Communication: Serve as a professional point of contact for external partners, influencers, and vendors.

Skills & Qualifications

  • Efficiency Expert: Ability to manage multiple "general tasks" independently and meet deadlines without constant supervision.
  • Tech Proficiency: Experience with modern productivity tools (G Suite, Slack) and financial software like QuickBooks.
  • Communication: Strong verbal and written skills; comfortable reaching out to leads or coordinating with high-level vendors.
  • Organization: Exceptional attention to detail and the ability to keep digital and physical files perfectly organized.
  • Experience: 1-2+ years in an administrative, office management, or operations role.
