Office Manager / Bookkeeper

Job Summary
We are seeking a highly organized and proactive office manager to provide comprehensive support to our executive team. This role requires exceptional multitasking abilities, strong communication skills, and a keen attention to detail. The ideal candidate will be adept at managing schedules, coordinating events, and handling various administrative tasks to ensure the smooth operation of the office.

Duties

  • Provide executive administrative support, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Assist in planning and coordination for corporate functions and meetings.
  • Maintain site management tasks such as ordering supplies, managing inventory, and ensuring a well-organized workspace.
  • Utilize computer literacy skills to create documents, presentations, and reports using software applications such as Google Workspace, Slack, Click Up and QuickBooks.
  • Perform bookkeeping tasks in quickbooks.
  • Perform clerical duties including filing, data entry, and maintaining accurate digital records within our Drives.
  • Act as a personal assistant to executives by prioritizing tasks and providing timely updates on projects.
  • Manage Google Calendar for scheduling appointments and reminders while ensuring optimal time management for executives.
  • Clean driving record & reliable transportation. Will need to run errands.

Experience

  • Proven experience in an executive administrative support role or similar position is preferred.
  • Familiarity with office management practices and procedures is essential.
  • Proficiency in Google Workspace and QuickBooks is highly desirable.
  • Strong organizational skills with the ability to handle multiple tasks simultaneously while meeting deadlines.
  • Excellent written and verbal communication skills are required for effective interaction with team members and external stakeholders.
  • A background in event planning or coordination is a plus.
