Job Overview
We are seeking an experienced and organized Office Manager / Bookkeeper to join our team! This vital role combines the responsibilities of managing daily office operations with accurate bookkeeping and financial record-keeping. You will be the backbone of our office environment, ensuring smooth administrative workflows, exceptional customer service, and precise financial management. We have multiple business entities which will require excellent communication to ensure accurate entries and billings. We sell our products in many states so familiarity with sales tax compliance is necessary.
Duties
- Oversee daily office operations, assistance sending samples, communicating with production staff and administrative support
- Sending customer invoices and ensuring collection of payments
- Manage calendar scheduling as needed for owner and clients
- Maintain accurate financial records using QuickBooks Online, including invoicing and expense tracking
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Support bookkeeping tasks such as bank reconciliations, payroll processing, and accounts payable/receivable
- Provide administrative assistance as needed, including typing correspondence, managing office supplies, and supporting personal assistant duties
Requirements
- Proven experience in office management or administrative roles with clerical experience
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace tools
- Strong computer literacy with excellent organizational skills and attention to detail
- Experience with start-up businesses is highly desirable
- Knowledge of bookkeeping practices and financial record-keeping is required
- Knowledge of construction industry is extremely helpful
