Office Manager / Bookkeeper

Job Summary
We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! In this vital role, you will oversee daily office operations while managing financial records with precision and care. Your energetic approach will ensure the smooth functioning of administrative tasks, exceptional customer service, and accurate bookkeeping. Responsibilities

  • Manage office operations, greeting visitors from time to time and answering the occasional phone call with professionalism and warmth
  • Maintain organized filing systems, both physical and digital, ensuring easy access to documents
  • Perform data entry, invoicing, and bookkeeping using QuickBooks or similar accounting software with accuracy
  • Support calendar management and appointment scheduling for staff and clients
  • Handle clerical duties such as proofreading, document preparation, and correspondence
  • Provide excellent customer support via phone, email, or in person, demonstrating strong phone etiquette and customer service skills
  • Assist with office management tasks including supply ordering, facility maintenance coordination, and record keeping
  • Utilize Quickbooks for accounts payable, receivable, and payroll.
  • Support personal assistant duties as needed, including time management and organization of meetings or events

Experience

  • Prior office experience or administrative background is required
  • Proven bookkeeping experience using QuickBooks or similar software is essential
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar)
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Demonstrated customer service excellence with professional phone etiquette and clerical skills
  • Experience in handling data entry, filing, proofreading, and calendar management is preferred
