Office Manager / Bookkeeper

Job Overview

We are seeking an experienced Office Manager with strong accounting and project support experience to join our growing team. This role is responsible for accounts payable/receivable, payroll processing, bookkeeping, and project coordination in a fast-paced, project-based environment. The Office Manager plays a key role in supporting daily operations, maintaining organization, and helping establish effective processes as the company continues to grow.

Key Responsibilities

  • Manage Accounts Payable (AP) and Accounts Receivable (AR)
  • Process payroll and maintain accurate payroll records
  • Perform expense tracking and financial reconciliations
  • Prepare and submit state sales tax filings
  • Serve as the first point of contact for incoming calls and client communication
  • Maintain office operations, organization, and supplies
  • Coordinate communication between field staff, leadership, and clients
  • Support project tracking, job costing, invoicing, and documentation
  • Maintain project files, contracts, and change orders
  • Develop and improve internal processes and workflows

Qualifications

Required:

  • 3+ years of experience in office management, bookkeeping, or administrative operations
  • Experience with AP/AR, payroll processing, and reconciliations
  • Strong organizational and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with accounting software (QuickBooks or similar)

Preferred:

  • Experience in construction, contracting, or project-based environments
  • Experience with job costing and project billing
  • Knowledge of state sales tax processes
  • Associate’s degree (2-year) or higher in Business Administration, Accounting, Finance, or related field strongly preferred (not required)
