Job Overview
We are seeking an experienced Office Manager with strong accounting and project support experience to join our growing team. This role is responsible for accounts payable/receivable, payroll processing, bookkeeping, and project coordination in a fast-paced, project-based environment. The Office Manager plays a key role in supporting daily operations, maintaining organization, and helping establish effective processes as the company continues to grow.
Key Responsibilities
- Manage Accounts Payable (AP) and Accounts Receivable (AR)
- Process payroll and maintain accurate payroll records
- Perform expense tracking and financial reconciliations
- Prepare and submit state sales tax filings
- Serve as the first point of contact for incoming calls and client communication
- Maintain office operations, organization, and supplies
- Coordinate communication between field staff, leadership, and clients
- Support project tracking, job costing, invoicing, and documentation
- Maintain project files, contracts, and change orders
- Develop and improve internal processes and workflows
Qualifications
Required:
- 3+ years of experience in office management, bookkeeping, or administrative operations
- Experience with AP/AR, payroll processing, and reconciliations
- Strong organizational and communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with accounting software (QuickBooks or similar)
Preferred:
- Experience in construction, contracting, or project-based environments
- Experience with job costing and project billing
- Knowledge of state sales tax processes
- Associate’s degree (2-year) or higher in Business Administration, Accounting, Finance, or related field strongly preferred (not required)
