The Role

We're hiring an Office Manager & Bookkeeping/Financial Specialist who is part operator, part builder, and part problem-solver. This isn't a "keep the lights on" job. We want someone who walks in, sees how things work, and asks, "What if we did this better?" — and then actually does it.

You'll be the central coordination point for administration, finance, and executive support. The ideal candidate is highly organized, deeply proactive, fluent (or eager to become fluent) with modern AI tools, and unafraid to challenge the status quo when there's a smarter way forward. If you take ownership, treat the company's money like it's your own, and find genuine satisfaction in turning chaos into clean systems, we want to talk.

This is an on-site role in Corpus Christi, TX. Not remote. Not hybrid.

What You'll Own

Daily Office Operations: Keep the office stocked, organized, secure, and running like a well-oiled machine. Manage vendor relationships, supplies, mail, deliveries, and facility upkeep. You set the standard for how a professional office should operate.

Process & Workflow Innovation: This is where we want you to shine. Audit our current admin, financial, and communication workflows and rebuild what isn't working. Build checklists, dashboards, templates, and automations. Use AI tools (ChatGPT, Claude, Copilot, Gemini, and similar) to accelerate everything from drafting SOPs to reconciling reports to summarizing meeting notes. We don't want someone who uses AI as a novelty — we want someone who treats it as a force multiplier and is constantly looking for the next workflow to streamline.

Financial & Bookkeeping Support: Maintain and reconcile transactions in QuickBooks (invoices, bills, expenses, payments). Assist with monthly close, spreadsheet balancing, cash flow tracking, and financial reporting. Help leadership stay on top of EBITDA and other key metrics by building clean, repeatable reports and flagging trends — good and bad — before they become surprises.

Client Quoting: Prepare and deliver daily quotes to existing and prospective clients. Accuracy and turnaround speed both matter here.

Administrative & Executive Support: Manage calendars, meetings, travel, and company events. Organize and maintain digital and physical records, contracts, and internal documentation. Draft and refine internal forms, SOPs, and office policies — and look for opportunities to template and automate the repetitive ones.

HR & Team Coordination: Onboard new hires (paperwork, accounts, orientation). Maintain employee files, track attendance and PTO, and coordinate performance review logistics. Help nurture a culture of professionalism, accountability, and pride in the work.

Government Contracting Support (Preferred): Assist in gathering and formatting materials for federal and state bids and RFP responses. Help maintain our library of capability statements, past performance documents, and certifications. You will be working directly with our RFP writer, who will help with the submission of the bids. Winning bids comes with commission and bonus potential — your work directly fuels our growth.

What We're Looking For

Experience & Education

  • Associate or Bachelor's degree in Accounting, Finance, Business, or a related field — or equivalent professional experience
  • 3+ years in office management, operations, or a similar administrative leadership role
  • Strong working knowledge of QuickBooks
  • Proficiency with Excel or Google Sheets (reconciliations, formulas, pivot tables, clean reporting)
  • Familiarity with EBITDA, income statements, balance sheets, and cash flow statements
  • Comfort with Microsoft 365 (Outlook, Word, Excel, Teams)
  • Government contracting, RFP, or federal/state bid experience is a strong plus

AI Fluency (or a Real Hunger to Build It) You don't need to be a prompt engineer, but you should already be using AI tools to make your work better — drafting, summarizing, brainstorming, analyzing, automating. If you've never opened ChatGPT, Claude, etc.., this probably isn't the role. If you've used them to build something genuinely useful at a previous job, lead with that story.

Pay: $40,000.00 - $125,000.00 per year
